Position summary:
The Rental Coordinator is responsible for coordinating equipment rentals and providing excellent customer service throughout the rental process. This role also supports daily shipping and receiving operations, ensuring timely and accurate handling of incoming and outgoing equipment and parts. The ideal candidate is customer-focused, detail-oriented, and thrives in a fast-paced, hands-on environment.
Responsibilities:
  • Assist customers in selecting the appropriate rental equipment for their specific applications.
  • Prepare and complete rental agreements, including customer signatures, license verification, and payment processing.
  • Maintain reservation schedules and rental records.
  • Coordinate equipment deliveries and pickups with internal teams and external customers.
  • Develop new rental and sales opportunities through cold calls, follow-ups, and customer visits.
  • Build relationships by researching customer needs and offering tailored equipment solutions.
  • Analyze market trends and competitor offerings to identify growth opportunities.
  • Assist walk-in and online customers with quotes, questions, and rental/sales transactions.
  • Ensure all equipment is clean and ready for rent at all times

Shipping & Receiving Responsibilities:
  • Receive, inspect, and tag incoming equipment, parts, and materials.
  • Verify shipments against packing slips, purchase orders, or invoices.
  • Organize and store incoming items properly within the warehouse or yard.
  • Prepare outgoing shipments, including accurate documentation, packaging, and scheduling.
  • Maintain cleanliness and order in the shipping/receiving area.
  • Communicate any discrepancies or damage to appropriate personnel.

Experience, Education, Skills and Knowledge:
  • Previous experience in equipment rental, inside sales, or shipping/receiving preferred.
  • Familiarity with compact or agricultural equipment is a plus.
  • Strong knowledge of sales and rental processes.
  • Excellent communication and interpersonal skills.
  • Persuasive, customer-focused, and results-driven.
  • Strong attention to detail and organizational skills.
  • Ability to multitask and manage time effectively in a dynamic environment.
  • Comfortable with cold calling and face-to-face customer interactions.
  • Proficient in Microsoft Office and capable of learning industry-specific software.
